Our Commitment to Children's Privacy
At NexaGen Cricket Academy, the safety, wellbeing and privacy of every young player are extremely important to us. We may take photographs and record videos during coaching sessions, matches, tournaments, cricket camps and other Academy activities.
These images help us celebrate players' achievements, showcase their development and promote the positive experiences offered by NexaGen Cricket Academy.
We are committed to handling photographs, videos and related personal information responsibly, in accordance with applicable UK data protection legislation and relevant England and Wales Cricket Board (ECB) safeguarding guidance.
What Information We Collect
Depending on the permissions provided, we may collect and process:
- Photographs of young players during Academy activities.
- Video recordings of coaching sessions, matches and events.
- Player names where publication permission has been provided.
- Parent/Guardian names and contact details.
- Photography, video and social media consent choices.
- Records of consent being given, changed or withdrawn.
How We Use Photographs and Videos
With the appropriate permissions, photographs and videos may be used for:
- Celebrating achievements: Recognising individual and team achievements, awards, competitions and special Academy events.
- Academy communications: Sharing appropriate updates about coaching activities, training and player development.
- Social media: Publishing approved photographs and videos on NexaGen's official Facebook, Instagram, TikTok and YouTube channels.
- Website and promotional materials: Featuring approved images in Academy website content, posters, flyers, brochures and other promotional publications.
- Coaching and development: Where appropriate, recording cricket techniques to help players understand and improve their skills. Coaching-analysis recordings used only internally will be handled separately from permission to publish images.
Parent/Guardian and Young Player Consent
NexaGen Cricket Academy requests clear permission from Parents/Legal Guardians before using identifiable images of children for voluntary promotional and social media purposes.
Our consent form provides separate choices covering:
- Photography
- Video recording
- Social media and website publication
- Printed and promotional materials
- Publication of the player's name
Players aged 12–17 are also invited to express their own consent choices. We will respect a young player's objection to photography or publication, even where a Parent/Guardian has provided permission.
Our Legal Basis for Processing
Where we rely on consent to publish identifiable photographs or videos for promotional purposes, our legal basis is consent under Article 6(1)(a) of the UK GDPR.
Other limited processing activities, such as maintaining consent records, managing privacy requests or handling safeguarding concerns, may rely on a different appropriate lawful basis, including legitimate interests or legal obligations where applicable.
Safeguarding and Responsible Image Use
We take reasonable precautions to protect children's welfare when photographs and videos are taken or published. Our approach includes:
- Avoiding inappropriate, intrusive or potentially embarrassing images.
- Avoiding the unnecessary publication of children's personal details.
- Not publishing children's home addresses, personal telephone numbers or private contact information.
- Avoiding identifying a child's precise whereabouts where doing so could create a safeguarding risk.
- Respecting recorded photography and publication restrictions.
- Restricting access to unpublished recordings where appropriate.
- Reviewing concerns about the use of a child's image promptly.
Parents and spectators are also encouraged to respect the privacy of other children when taking or sharing photographs at Academy activities.
Social Media and Third-Party Platforms
Approved content may be published through official NexaGen Cricket Academy social media accounts.
Please be aware that when photographs or videos are published online, they may be viewed, shared, copied or saved by other users.
Social media platforms may process personal information according to their own privacy policies, and information may be processed outside the United Kingdom.
How We Store and Protect Information
Photographs, videos and consent records will be stored using appropriate Academy-approved systems. We aim to:
- Restrict access to authorised personnel.
- Use appropriate account security and access controls.
- Avoid unnecessary sharing of identifiable recordings.
- Review stored content periodically.
- Securely delete material when no longer needed, subject to any applicable legal or safeguarding requirements.
How Long We Keep Information
We will keep photographs, videos and consent records only for as long as reasonably necessary for their intended purposes, subject to applicable legal, safeguarding or record-keeping requirements.
Promotional images will be reviewed periodically to determine whether continued use remains appropriate. Coaching recordings will be retained only while reasonably needed for the relevant development purpose.
Withdrawing or Changing Consent
Parents/Legal Guardians may withdraw or change photography, video or publication consent at any time. To make a request, please contact:
Please include the player's name and explain which permissions you wish to change.
Following withdrawal, we will stop the relevant future consent-based processing and take reasonable steps to remove previously published material from Academy-controlled channels where requested.

- Request access to personal information.
- Request correction of inaccurate information.
- Request deletion of information in certain circumstances.
